Easel Peasels

Terms and conditions - Note these are different for Afterschool and holiday club and separate terms for toddler sessions - please refer to the appropriate section:

Afterschool and Holiday club

·      I consent for my child to attend Easel Peasels. I understand that the club has policies and procedures (which are available for reference at the club), and that there are expectations and obligations relating both to the club and to myself and my child, and I agree to abide by them.

·      I understand that Easel Peasels is a play setting and that whilst my child is there Easel Peasels is legally responsible for him/her.

·      Once my child arrives at Easel Peasels he/she will be in the care of Easel Peasels until collected and signed out by an authorised person.

·      I will notify the club before the start of the session if I am collecting my child from school on a day that he/she is booked to attend the club. I understand that I will be charged for the booked session.

·      I will book my child into the club as a member for their chosen day and will pay promptly for all booked sessions whether my child attends or not (eg due to illness or holidays), unless I have made other arrangements with the manager. The term time sessions are split up over 12 monthly payments. for example monthly payments will still be collected during summer/holidays.


·      It is my responsibility to keep the club manager informed of any alterations to the information regarding my child (eg contact details, medical conditions, etc).

·      I accept that my child may take part in messy activities while at Easel Peasels. I understand that I can provide my child with appropriate clothing to accommodate this if I wish.

·      Easel Peasels closes at 5.15pm for afterschool club. If, due to unforeseen circumstances, I am going to be late, I will contact the manager/deputy as soon as possible. This would be 3pm For Holiday club

·      If I do not collect my child by 5.30pm I will pay a charge of £5 per quarter of an hour to cover the costs of the staff who are legally required to supervise my child. For holiday club this is 3.15pm

·      If I do not collect my child by 6.30pm, and the club has been unable to reach me or any of my emergency contacts, I understand that Easel Peasels will follow its Uncollected Children Policy and contact Social Care. The same applies to Holiday clubs and Workshops however the times will relate to those sessions which vary.

·      Whilst Easel Peasels tries to ensure the safety and security of items, I understand that it cannot be held responsible for loss or damage to my child’s property whilst at the Club.

·      I have read the club’s Behaviour Management Policy and agree to its terms and appreciate that in some circumstances it may be necessary to exclude my child from the club, and I will pay for any missed sessions unless otherwise agreed with the manager.

·      If there are any accidents or incidents at Easel Peasels involving my child, I will be informed.

·      If my child has an accident at the club, he/she will be treated by a qualified first aider and I will be informed as soon as possible. If my child needs urgent medical treatment and I am unavailable, a member of staff from Easel Peasels will sign any consent forms necessary for treatment on my behalf, as stated on the club’s Medical Form.

·      Information held by Easel Peasels regarding my child will be treated as confidential. However, in certain circumstances, for example if there are child protection concerns, I understand that the club has a legal duty to pass certain information on to other agencies, including Police, Social Care and health care professionals.

·      I understand that aggressive and abusive behaviour towards staff will not be tolerated.

·      I agree that I will not use a camera, mobile phone or other mobile device on club premises.

 The same terms regarding cancellation and late collections apply to Holiday Camps.


  • Payments will be returned if a class has to be cancelled due to minimum numbers not being achieved.
  • Easel Peasels or any of their staff are not responsible for any loss or injury during the class.
  • Easel Peasels reserve the right to remove from our programme, without refund, anyone who is found to be bullying, misbehaving or displaying disruptive behaviour. This also applies if a child is unwell and needs to be sent home. we are unable to refund the place or provide spaces in future sessions instead.
  • You must declare all medical conditions during registration and keep us up-to-date should this change by emailing/calling us at - *relevant contact details*.
  • You must declare if you do not want your child to be photographed for marketing use, and keep us up-to-date should this change using the given email address or phone number.
  • Your booking is not confirmed until payment has been received.
  • You must refrain from bringing your child to class if they have had any form of illness within 48 hours of the class.
  • We don't issue refunds for missed sessions due to your own circumstances 


I have read and understood the above terms and conditions and I agree to abide by them.

Toddler Sessions Terms:

 

·      I understand that the club has policies and procedures (which are available for reference at the club), and that there are expectations and obligations relating both to the club and to myself and my child, and I agree to abide by them.

·      I understand that Easel Peasels is a play setting however for the parent and toddler sessions,  whilst I attend with my child, I am legally responsible for my child, not Easel Peasels.

·      Easel Peasels will provide a snack and drink whilst at the session unless otherwise requested.

·      I will notify the club before the start of the session if we will not be attending a booked session. I understand that I will be charged for the booked session.

·      If my child or I have a contagious illness I will observe the exclusion period for infection control issued by Public Health England. If I am unsure, I will consult a member of staff.

·      I will book my child into the club on a weekly basis and will pay promptly for all booked sessions whether my child attends or not (eg due to illness or holidays), unless I have made other arrangements with the manager. The Club’s fee structure is set out in its Admissions and Fees Policy.

·      It is my responsibility to keep the club manager informed of any alterations to the information regarding my health or my child’s health and another personal information (eg contact details, medical conditions, dietary requirements, etc).

·      I accept that my child may take part in messy activities while at Easel Peasels. I understand that I can provide my child with appropriate clothing to accommodate this if I wish.

Easel Peasel’s

Coronavirus / Covid-19 Agreement

I acknowledge the contagious nature of Coronavirus and that the latest government guidance recommends practising social distancing and a range of other protective measures.

I recognise that Easel Peasel’s has put in place a series of protective measures to reduce the risk of Coronavirus transmission within the setting, but I accept that Easel Peasel’s cannot guarantee that my child will not be exposed to Coronavirus whilst attending the club.

I understand that I must follow the procedures set out by Easel Peasel’s when dropping off and collecting my child from the setting.

I understand the importance of vigilance regarding Coronavirus symptoms as a keystone of preventing the transmission of the virus to other children, staff and parents. Accordingly, I confirm that:

- My child is not experiencing any Coronavirus symptoms such as cough, shortness of breath or difficulty breathing, fever, muscle pain, headache, sore throat, or new loss of taste or smell.

- My child has not tested positive for Coronavirus, or been advised by NHS Test & Trace to self-isolate.

- My child has not been in contact with anyone in our household who has Coronavirus symptoms, or who has been advised by NHS Test & Trace to self-isolate.

- My child has not travelled abroad to any country other than those identified as ‘safe’ by the government within the last 14 days.

- My child is capable of following the club rules relating to protective measures, such as not mixing with children in other bubbles, washing their hands regularly, coughing and sneezing into a tissue and disposing of it safely, and not touching other children. I understand that if they are unwilling to follow the rules they may not be allowed to attend future sessions.


If any of the above circumstances change, I will not bring my child in to the club and will notify the club staff immediately.


I am aware that there are no refunds available for Holiday club dates or toddler sessions. There are limited places and cancellations can not be refunded unfortunately. This also applies if children are unwell and need to be sent home we are not able to hold spaces in future sessions to cover for these instances.
